Tools Library for Dynamics GP
Have you ever found yourself working on a project around the house or under the hood of your car in need of a specialty tool? Perhaps you were able to borrow from a friend or you could justify spending the money to make the job easier. If not, perhaps you struggled to find a way to make it work, albeit with a lot more effort and a questionable outcome.
Since March 26, 2012, Dynamics GP has offered the Professional Services Tools Library (PSTL) at no charge. It’s a powerful set of tools allowing users to perform various tasks. While in some cases there are workarounds they might require a lot more time and planning or not provide the desired results.
Now that you know you own these specialty tools, do you know what they can do? Before we outline most of the available tools, it’s important to note that many require the user to be logged in as ‘sa’ and many require other users to be logged out of the company or system. We also recommend backing up the database(s) before using many of these tools in case you need to reverse any undesired changes.
Within the PSTL window you’ll find tools categorized in the following areas: System Tools, Financial Tools, Purchasing Tools, Sales Tools, Payroll Tools, Inventory Tools, and Miscellaneous Tools. Every tool will have a radio button that you may select then click the ‘Next’ button to proceed. There are also some tools that may be enabled/disabled with a checkbox, if available. You may find additional tools depending on your version of Dynamics GP.
System Tools
Shortcuts Copy
Copies user Shortcuts options to another user. Enter the user ID from which you want to copy and select the user ID to which you want to copy then choose ‘Copy’.
Toolkit
Used to rebuild the account index table (GL00105) or to recreate SQL objects such as Dex Procs, indexes, tables, or check identities of tables.
Update User Date
Automatically changes the system date at midnight when users remain logged in overnight.
Financial Tools
Account Modifier/Combiner
Modifier changes an existing GL account to a new GL account that does not already exist. Combiner combines an existing GL account with an existing GL account. Combiner requires that both accounts have the same posting type (i.e. balance sheet or profit and loss). Both Modifier and Combiner will make the change on all existing transactions so historical transactions will appear with the new account. This tool will not update Management Reporter account references so those changes will need to be performed manually.
Checkbook Modifier
Allows an existing Chequebook ID to be modified to a new Chequebook ID that does not already exist.
Fiscal Period Modifier
Allows a fiscal period to be changed regardless if it is open or closed. This action may be performed for open years using the Fiscal Period Setup window. Since Dynamics GP 2013 R2 the ability to reverse historical year-end close process has been available meaning that closed year may be re-opened and changes may then be performed in the Fiscal Period Setup window. However, reversing the year-end close process requires all GP users to be logged out of every company so the PSTL Fiscal Period Modifier may remain useful in environments with multiple companies.
GL Master Triggers
Allows GL accounts created in one database to be automatically created in other databases. When using this tool users may specify which database is the master and to which database(s) those GL accounts should be created. The GL format must be the same in the destination database. This tool may be enabled/disabled as needed.
Purchasing Tools
PM Master Triggers
Similar to GL Master Triggers, this tool allows new vendors and vendor addresses created in one database to be automatically created in other databases.
Vendor Name Modifier
Allows a Vendor Name to be changed without any loss of work, open, or historical records.
Minimum PO/Receipt #
Allows a minimum PO or receipt number to be specified so the system will not attempt to use previously unused PO or receipt numbers. Also allows the option to prevent any previous PO or receipt numbers from being used.
POP Cost Defaulter
Allows the current or standard cost of an item to default from the item master card rather than the item’s vendor card.
Sales Tools
Customer Name Modifier
Allows a Customer Name to be changed without any loss of work, open, or historical records.
RM Master Triggers
Similar to GL Master Triggers and PM Master Triggers, this tool allows new customers and customer addresses created in one database to be automatically created in other databases.
RM Transaction Unapply
Allows user to unapply historical documents effectively changing their status from history to open and allowing them to reapply records as needed. This tool will work in cases where discounts or write-offs exist as long as the transaction uses the company’s functional currency.
Salesperson Modifier
Allows Salesperson ID to be changed without any loss of work, open, or historical records.
SOP Customer Item Lookup
Allows user to lookup customer and item sales order history directly from the Sales Order Processing Entry and Sales Item Detail windows. The user won’t need to search for recent customer sales activity in other windows.
Territory Modifier
Allows Territory ID to be changed without any loss of work, open, or historical records.
Territory Combiner
Allows Territory ID to be combined with another existing Territory ID without any loss of work, open, or historical records.
SOP PO Number Check
Searches for the customer’s PO Number on existing SOP documents during sales entry. If found, options are as follows: Do Nothing, Warn only, Warn and Ask, Warn and Reject, Warn and Password.
Inventory Tools
Item Site Combiner
Allows Site ID to be combined with another existing Site ID without any loss of work, open, or historical records.
Item Site Modifier
Allows Site ID to be changed without any loss of work, open, or historical records.
Item Description Modifier
Allows an Item Description to be changed without any loss of work, open, or historical records.
Item Number Combiner
Allows Item Number to be combined with another existing Item Number without any loss of work, open, or historical records.
Item Number Modifier
Allows an Item Number to be changed without any loss of work, open, or historical records.
Item Reconciler
Same functionality as inventory Reconcile utility except it will only reconcile items with differences so will run more quickly if a number of items selected are already in balance.
Miscellaneous Tools
Fixed Asset Modifier
Allows Fixed Asset ID to be changed without any loss of work, open, or historical records.
Default Add Item POP/SOP
When active, will automatically mark the ‘Add Item’ option in the following windows:
- Sales Transaction Entry
- Purchase Order Entry
- Receivings Transaction Entry
- Purchasing Invoice Entry
The option may be manually turned off in these windows, but the default option will help prevent users from entering non-inventory items.
Doc Date Verify
Allows users to be prompted when entering a date that does not fall in an existing fiscal period. For example, if a user enters the year as 2091 as opposed to 2019. While this date may be acceptable in some subledger windows, the transaction won’t post to the GL so you’ll have an invalid date in the subledger. Turning on this feature will notify users if a date does not exist or falls in a closed fiscal period.
Company Copy
Allows company setup and report option information to be copied to another existing company. Specific modules may be selected, if desired. The tools will delete any existing setup and report option information in the destination company.
